How Maix Uses Artificial Intelligence to Support Legal Preparation

This page provides a plain-language explanation of Maix’s use of artificial intelligence and its confidentiality safeguards. It does not replace or modify the Limited Representation Agreement, Privacy Policy, or App Terms and Conditions. Those documents control where applicable.
Maix Is a Legal-Preparation Service
Maix Chat is a Firm-operated, AI-assisted legal-preparation service provided by Lomax Law Firm, P.A.
It is designed to help App Clients:
describe a potential legal issue;
identify and organize potentially relevant facts;
collect questions, documents, and other information;
preserve a legal-preparation history; and
prepare an Attorney Request for possible review by a licensed attorney.
Maix Chat is intended only for legal preparation and communications related to potential legal matters. It is not offered as a general-purpose AI service or for inquiries unrelated to obtaining or preparing for legal assistance.
Maix Is AI, Not an Attorney
Maix uses generative artificial intelligence to produce responses. Maix is not a licensed attorney and cannot exercise a lawyer’s professional judgment.
Unless the App expressly tells you otherwise:
Maix responses are generated by AI;
the responses have not been reviewed or approved by an attorney;
the responses are not personalized legal advice; and
the responses may be incomplete, inaccurate, outdated, or inappropriate for your circumstances.
Maix can help you prepare information for legal review, but it is not a substitute for communicating directly with a licensed attorney.
How the Firm Directs Maix
Lomax Law Firm selects, configures, authorizes, and directs Maix and its approved technology providers to assist the Firm’s legal-preparation and communication functions.
These tools help the Firm receive, organize, preserve, summarize, and understand information that may be useful for legal consultation, an Attorney Request, or evaluation of a potential legal matter.
Maix and its technology providers are not engaged to provide independent business advice, unrelated AI services, or legal advice separate from the Firm.
How AI Processing Works
Maix currently uses the OpenAI API through a Firm-controlled backend. Maix does not operate through a consumer ChatGPT account.
When you use Maix Chat:
Your message is securely transmitted through the App.
The portions of the conversation and instructions reasonably needed to generate a response may be transmitted to and processed by the authorized AI provider.
The AI-generated response is returned through the Firm-controlled system.
The conversation is stored in the confidential legal-preparation file associated with your Maix account.
The Firm does not authorize Maix Chat content to be used to train public or general-purpose AI models and does not opt in to provider training with Maix Chat content.
Authorized providers may temporarily process information in readable form when technically necessary to provide the service. They may also maintain limited records for service operation, safety, abuse monitoring, security, or legal compliance under their agreements and the Firm’s configured data controls.
Confidential Treatment of Maix Chats
For an App Client who has signed the Limited Representation Agreement, the Firm treats information provided through Maix Chat as confidential information relating to that limited representation.
Maix Chat is structured so that App Clients can communicate with the Firm for the purpose of:
obtaining the limited legal-preparation services described in the agreement;
organizing information about a potential legal matter;
preparing an Attorney Request; and
facilitating possible legal consultation or attorney review.
The Firm requires authorized technology providers to process information subject to applicable confidentiality, privacy, data-use, and security requirements.
Confidentiality Is Not a Guarantee of Privilege
The Firm intends Maix Chat to facilitate confidential legal preparation and communication. However, confidential treatment and attorney-client privilege are related but different concepts.
Whether a particular communication is protected by attorney-client privilege, work-product protection, or another legal doctrine may depend on:
why the communication was made;
what the communication contains;
the Firm’s role and direction;
the people and providers involved;
whether the communication was shared with anyone else;
whether an attorney reviewed or used the information; and
the law of the applicable jurisdiction.
The Firm therefore cannot guarantee that every Maix Chat communication will be recognized as privileged in every court, jurisdiction, or circumstance.
You should not publicly post Maix Chat content or voluntarily share it with unnecessary third parties. Doing so may affect the availability of legal protections.
Encrypted Legal-Preparation Files
Maix Chat conversations and related materials are stored in a confidential legal-preparation file associated with the App Client’s account.
Protected information is secured using administrative, technical, contractual, and access-control safeguards, including encryption in transit and the Firm’s server-side envelope-encryption architecture for protected stored data.
Information may be decrypted or processed in readable form by authorized systems or persons when reasonably necessary to operate Maix, protect the system, fulfill an App Client’s request, or provide the applicable legal service.
No storage or communications system can guarantee absolute security. App Clients should protect their accounts and devices and should not submit passwords, complete Social Security numbers, complete financial-account numbers, or unnecessary identifying information unless the App specifically requests it through an appropriate secure process.
Attorney Review Is Not Automatic
Saving a Maix Chat does not mean that an attorney has reviewed the conversation or accepted representation for a specific matter.
When an App Client is ready, information from the confidential legal-preparation file may be used to help prepare an Attorney Request. The App will identify when attorney review has been requested and, when applicable, whether particular information has been reviewed by an attorney.
Submitting an Attorney Request, application, document, or electronic signature does not by itself require the Firm or another attorney to accept a specific matter.
Representation for a specific matter begins only after the applicable review and acceptance process is completed and the Firm or participating attorney confirms acceptance.
You Have a Choice
You are not required to use Maix Chat to contact Lomax Law Firm. You may stop using Maix Chat and contact the Firm through another available method.
If your matter is urgent or may involve a filing deadline, statute of limitations, notice requirement, appeal deadline, or other time-sensitive issue, do not rely solely on Maix or wait for an App response. Contact a licensed attorney promptly.
Watch and Watchlist Information
Watch and Watchlist features are separate from Maix Chat. They are designed to help users follow emerging issues and report experiences that may reveal broader patterns.
Unless the App expressly says otherwise, a Watch or Watchlist submission is not a Maix Chat, Application, or Attorney Request and does not request representation for a specific matter.
